Following is some information designed to assist poster, podium and symposium presenters with preparation for the conference:

All Presenters:

  • When making corrections DO NOT Reload The Page or Use the Back Button On Your Browser. Use the hyperlinked steps in the Abstract Control Panel instead.
  • You can find more detailed instructions for submitting an individual paper/poster or a symposium once you begin the submission process by accessing the Instructions link in the control panel.
  • All poster and podium presenters must pay the individual or student registration fee to attend the conference. Employment in a WIN Member Agency does not confer membership status to individuals or students. Payment of the membership fee can be made at the time of registration.
  • The Program Committee will decide whether to place papers in a poster or podium session, and its decision is final.
  • All presenters are required to submit an Objectives/Content Grid. View the sample here.

Poster Presenters

  • You will be provided with one horizontal, freestanding 8 ft. X 4 ft. posterboard and push pins. If you want a particular color of push pins, please bring your own supply. Additional equipment, such as electricity, is available for a fee.
  • Posters will be on display for four hours, according to the assigned date and time. The program schedule will provide for an hour of poster viewing and all presenters are expected to be at their posters during that time.
  • Hang your poster only on the Board assigned. The assignments will be found in the conference program book.
  • Final poster judging will be done from 12 – 1:00 PM on Saturday, April 17. Session poster winners will need to re-hang their posters for that hour.
  • Please make sure that you remove your poster or make arrangements with a colleague to do so. WIN staff is not responsible for your poster.

Podium Presenters

  • The normal length of an oral presentation is 10 minutes plus five minutes for Q&A. To assist you with preparing your presentation, please review the video on:

  • Each presentation room will be equipped with a PC, computer projector and screen.
  • You must submit your slide presentation file by the announced deadline or visit the Speaker Ready Room at least 24 hours before your scheduled presentation.
  • If your presentation was created on a Macintosh computer, you must save it to run on a PC. Please test if before coming to the meeting, in addition to visiting the Speaker Ready Room.
  • If your presentation includes embedded video, please covert any .mov files to .avi format, or create a link to your slide show to an external .mov file. If you choose the latter, your animation will play in a separate QuickTime window outside of your PowerPoint presentation.

Symposium Presenters

  • The symposium contact persons will need to be prepared to submit the following information for each presenter in the online abstract submission form:
  • First and Last Name
  • Title and Credentials
  • Description of expertise on the topic of the author’s paper
  • Affiliation (employer, agency)
  • Street Address 1
  • City, State and Zip Code
  • Daytime Phone and Email Address
